The Governance Clock Audit

Forty five minutes, by hand. You finish holding a dated AI clause for one course and a live decision log for the assignments inside it. Not a summary of governance. The actual document.

How to use this. Pick one course. Only one. Work top to bottom and type into every box. Nothing is saved to a server, so use Copy Everything at the end and paste the result into your syllabus file before you close the tab.

PHASE 1 / SEED

Name the clock you are actually on

Governance fails when the rule is written somewhere the work never goes. Start by finding out where yours currently lives.

1. Where is your institution’s AI policy written, and when did you last read it?

2. What did you tell students about AI in this course, and where did you tell them?

3. Name one AI tool you know students in this course are using that you have never formally addressed.

PHASE 2 / SPROUT

Write the clause, and put a date on it

A dated rule is a rule you are allowed to change. That is the entire trick. Permanence is what makes committees slow, so refuse permanence on purpose.

4. In one sentence, what is AI for in this course?

5. Name one thing students may always do with AI here.

6. Name one thing students may never do with AI here, and say why in the same breath.

7. Write today’s date and the date you will revisit this clause.

PHASE 3 / GROW

Put the rule where the student meets it

A policy portal is not where the work happens. The assignment is. Take your three highest stakes assignments and set each one deliberately.

8. Assignment one, and its AI setting in one line.

9. Assignment two, and its AI setting in one line.

10. Assignment three, and its AI setting in one line.

11. Which of those three did you have to think hardest about, and what made it hard?

PHASE 4 / HARVEST

Start the log that outlives the term

A decision you make once is a rule. A decision you keep dated and revisable is a record. The log is what turns one good afternoon into something that compounds.

12. Write your first log entry: what you decided today, and what would make you change it.

13. Who else needs to see this clause, and when will you send it?

That is one course. Look at what it took: roughly forty five minutes of real thinking, and most of that was question eleven and question twelve, the two that carry your actual reasoning.

Now count your sections. Count the courses you teach that you did not audit today. Count next term, when the tools have moved again and this clause is dated August and you are starting from a blank page because the reasoning lived in your head and the term ended.

The manual version works. It just does not scale past one course.
